How do salons take bookings on WhatsApp without losing track?
Saturday slots in a Greater Kailash or Rajouri Garden chat pile, and how to write each booking down once.

That is how a salon in Delhi NCR takes Saturday slots without two people giving away 2pm. I will not tell you a chatbot makes a single chair run itself. I will tell you what the Greater Kailash thread actually looks like at noon.
Saturday, mid colour, the pile
Both hands are in a colour. The foil is on. WhatsApp on the shop counter is a stack of Saturday requests mixed with “how much for a keratin” and a voice note you cannot play with dye on your gloves. Rajouri Garden is the same week with a different metro.
You reply when you can wash off. Someone else, the other stylist or a sister with the backup phone, has already said 2pm is free. The same slot is now two names. One of them arrives. The other stands. That is the double book. It is not a software story. It is two people treating a chat list as a diary.
Are chatbots actually useful is the general case. This is the salon case: mid colour, Saturday pile, the chair that got promised twice.
The phone still rings through the same colour. Nobody picks up the phone is that ring. By the time you can wash off, they have booked the salon two shops down. Voice is the other hole. Start with the one that is actually losing the Saturday.
Write it down once
Chat on WhatsApp and on the site answers how much and when you are free, and writes the booking into one list. The second person sees the same 2pm. They cannot take it again.
If you already use a booking app, we write into that. You do not have to switch. If the diary is a notebook by the till, we start with one list every WhatsApp booking lands on. The notebook can stay until you trust the list. I will not throw out a diary you already look at.
WhatsApp chatbot or website chatbot is the channel question. Most of the salons I am talking to already live in WhatsApp. The site is what someone opens when they want a price without sending another message. The booking still has to land in the same place.
The chat floor on pricing is Rs 15,000. A voice agent on the salon number starts at Rs 25,000. Both are floors. We pick the pile or the ring, not both on day one so the quote looks full.
The free app is not the chatbot
WhatsApp says the WhatsApp Business app is free to download, built for a small business owner, with a business profile, lists, and tools to reply faster. That is a better inbox. It is not a diary. It will not stop two people saying 2pm if both of them can still type.
A booking chatbot is a different job. It reads your prices, timings and who does colour, and it writes the slot once. If a colour question is off the list, it passes the chat to you instead of inventing an answer. Installing the free app is a good morning’s work. It is not this build.
I will not tell you the free app is useless. For a single chair that one person answers, it may be enough. The failure starts when two people reply, or when the Saturday pile is faster than your gloves.
A single chair still needs a written rule
Most of the salons I am talking to are one chair, one phone, WhatsApp after closing. The work is the same. The diary is just smaller.
I still need the rule on paper. Who does colour. How long a cut takes. Who is off on Tuesday. What a walk in is allowed to take at 5pm. If that lives only in your head, two people will still invent 2pm.
A chatbot will not wash the colour. It will not decide a walk in can squeeze in when the next client is already in the chair. Unusual cases come to you. A robot is not a stylist.
I cannot give you a no-show figure or a booking lift. Count the double books and the threads that sat through Saturday for one week. That is your number. I will not replace it with a promise.
What to do
Open last Saturday’s WhatsApp. Mark every slot that was promised twice. Mark every price question that sat until Sunday. If the list is empty, you may not need me. If the list is the afternoon, that is the job.
Write the services, the prices, the slot lengths, and who is off. Then get in touch. A short call. If chat will close the pile, I will say so. If the hole is the ringing phone, we start with voice. If the free Business app and a notebook already keep one chair honest, I will tell you that and stop bothering you.
