WhatsApp missed-call recovery for clinics, dental practices and gyms

In pilot with first clinics. It answers patients on WhatsApp in English, Hinglish or Hindi, books the appointment, and hands everything else to your team.

Where it stands

A pilot, not a finished product.

The bot is in pilot and open to first clinics. There are no paying clients yet, so this page shows what the software does, not results.

Pricing is on request. The bot uses paid services, WhatsApp, the AI model and hosting, and NexBuilt explains each one before a pilot starts.

NexBuilt was founded in August 2026 by Arnab Das. It is based in New Delhi and works remotely with businesses across India. You talk to the person who builds it.

Built and tested

What the bot does.

  1. 01

Books appointments. It finds free slots from the clinic's own hours, sends a list the patient taps, and books with their name. Two patients cannot take the same slot. Leave and blocked hours are respected.

  2. 02

My bookings, cancel and reschedule. A patient can ask what they have booked, cancel it, or move it to another free slot. It only ever shows or changes the bookings of the number that is writing.

  3. 03

Hands the chat to your team. When a patient asks for a person or is upset, the bot pauses for that chat and alerts you. You reply from your own WhatsApp. While it is paused it still answers that patient about their own bookings, so nobody is left in silence.

  4. 04

Asks the team one question. A question the clinic's facts do not answer, such as whether an insurance is accepted, goes to your team. The bot is not paused and keeps helping with everything else.

  5. 05

Stops when asked. A patient who sends STOP gets one confirmation and no further messages. START turns messages back on. The bot will not opt anyone out unless they asked.

  6. 06

Stays out of medicine. It does not diagnose and does not advise on medicines or doses. A message that sounds like an emergency gets a fixed instruction to call 112 or go to the nearest hospital, and you are alerted straight away.

  7. 07

English, Hinglish and Hindi. It replies in the language and script the patient writes in: English, Hinglish in Roman letters, or Hindi in Devanagari.

  8. 08

Keeps the owner in the loop. You get an alert for each new booking, cancellation, handoff and emergency, by WhatsApp and by email if WhatsApp fails. Over WhatsApp you can see tomorrow's list, add leave, block time, cancel a booking after replying YES, and resume the bot for a patient. Patients get a reminder 24 hours and 2 hours before their appointment, and you get a daily summary.

Coming

Not built yet.

  1. 01

Coming: the phone-call trigger. Connecting the clinic's phone line, through a telephony provider, so that a missed call starts the WhatsApp follow-up. The rules for that follow-up are written and tested, but no clinic line is connected yet.

  2. 02

Coming: voice notes. Today the bot reads text and taps. A voice note or a photo gets a polite request to type instead.

  3. 03

Coming: calendar and clinic software sync. Today bookings live in the bot's own diary, set up from your hours. Syncing with Google Calendar or practice software is not built.

  4. 04

Coming: payments. The bot does not take fees or deposits.

The missed call

How the missed-call follow-up will work.

  1. 01

When the phone trigger is connected, one missed call from a patient leads to one WhatsApp message, not one per ring. Calls from your own staff, from blocked numbers and from patients who said STOP get nothing.

  2. 02

If the patient wrote to the clinic on WhatsApp in the last 24 hours, the bot sends a short normal message. Otherwise it sends a template, a fixed message Meta has approved in advance. Quiet hours, if you set them, hold the message until morning.

  3. 03

If WhatsApp cannot deliver the message, you get an alert to call that patient back, instead of the call quietly disappearing.

  4. 04

Not every caller will reply, and not every reply becomes an appointment. The bot gives the caller an easy way back; it does not promise a booking.

What the AI does, and what it does not.

Replies are written by Anthropic's Claude model, from the facts the clinic gives NexBuilt: hours, services, prices and staff. When the facts do not answer a question, the bot says so and passes it to your team instead of guessing.

Bookings, cancellations, reminders, the opt-out and the emergency reply are rules in the software, not choices the model makes, so no reply can book a slot that is taken or message someone who said STOP.

The ones people actually ask.

Is it live?

It is in pilot and open to first clinics. Booking, handoff, the safety rules and owner alerts are built and tested. The link from a missed phone call to WhatsApp is coming, and this page says so wherever it matters.

What does it cost?

Pricing is on request. It depends on the clinic, and the bot runs on paid services in WhatsApp, the AI model and hosting. NexBuilt explains each cost before a pilot starts.

Does it replace my receptionist?

No. It answers the questions your front desk answers all day, books from your hours, and hands anything unusual to a person. The phone itself is a different job: the AI voice agent page covers answering calls.

Want calls answered rather than followed up on WhatsApp?

One person. New Delhi.

Tell NexBuilt what eats your week.

If it can be automated, NexBuilt will say so. If it cannot, you will hear that too. No proposal, no follow up sequence, just an answer.
