Should I hire a receptionist or use an AI voice agent?

When a person at the desk is the right spend, and when a voice agent is the thing that picks up during a filling.

Hire a receptionist when unusual calls need a person at the desk. Use a voice agent when the usual questions ring while you are mid filling, knowing it will not replace that person.

A busy dental clinic may need both. A quiet coaching centre may need neither. I sell the agent. I will still say when a hire is the right spend.

A voice agent is not a receptionist

An AI voice agent sits on the business number and talks like a calm receptionist. It states that it is an assistant at the start of the call. The usual line is hours, how to find you, a price, a booking. Off-list questions become a message to you. You get the transcript. It never sends anyone to voicemail.

That is the job. It is not a person at the door. It will not see a walk in or decide a clinical question. What a voice agent is is that list, not a stand-in for a desk.

The honest downside of the thing I sell: odd calls still need you. A few callers leave the moment they hear it is an assistant. Whether customers know they are talking to an assistant is not a trick. They know, because it says so.

A receptionist does the unusual hour and sits where the walk in lands. They cost a salary I do not publish, and they have hours. If you run Mon to Sat 10 to 8 and the phone rings at 9pm, the person is not the plan unless you pay for that hour.

What the build floor is

Voice starts at Rs 25,000 on the pricing page. That is the build, not a salary. It is not a monthly running figure. If a billed number or a model is part of the running cost, I name those bills before I start. I have not published that running number here.

A hire is a different kind of money. I will not guess a Delhi receptionist salary. I will not compare the floor to a year of wages and call that a saving. Those are estimates. You know what you would pay a person. Put that next to the week, not next to my floor.

Scope changes the number. A line that only answers fees and batch times is not the same job as a line that writes into a diary you already use. I will say if yours sits above the floor after I have heard the week.

Usually under two weeks is for a site. Voice depends on what the phone is asked. The agent speaks from a list you give me, not from a guess.

When to hire instead

Hire when the missed calls are not “what time” and “how much”. Hire when parents want a counsellor, not a fee. Hire when a patient wants advice, not a slot. Hire when the door needs a human during the busy hour and the phone is only part of that hour.

Hire when you already know you will hate an assistant on the line. That is allowed. Some owners do. The pros and cons of voice calling are for that doubt. Do not buy the build to test a feeling you already have.

A centre in Laxmi Nagar during admission season may need the counsellor free for the parents who will actually join, and an assistant for the fee and the next batch. That is both. A centre whose calls are mostly unusual may need a person on a short hour, or neither if you can return the log the same afternoon.

A clinic with one chair and no desk is the usual case I hear. The dentist is the receptionist. The agent is the try only if you accept the hang-ups and the hand-off.

When a busy shop needs both

Both is not a bundle I push in the first meeting. Both is what a week looks like when the usual calls are constant and the unusual ones are expensive.

The agent takes the slot questions during a filling. The person takes the swelling, the complaint, the walk in. The transcript tells the person what already happened. Two people do not take the same slot if the booking is written once.

If you do not have the person yet, start with the line that rings out. If you have the person and they are drowning in “are you open on Sunday”, give them the assistant for that pile. If you have the person and the line is already clean, I will tell you to stop.

I do not sell both to make the meeting tidier. Hire, agent, both, or neither: we pick from the week you actually have.

A quiet shop may need neither

If the phone barely rings, a hire is a salary for silence. An agent is a build for silence. Count a week. If you can return every miss the same day and still book them, you may need a habit, not a tool.

If Instagram is the real inbox and the phone is a leftover, fix the inbox. That is a different page.

Then get in touch if the week is loud and you want the choice said back to you. A short call. What the phone is asked, who is free, which diary you already trust. I will say hire, agent, both, or neither. I will not pretend the agent is a receptionist.

No. It can take hours, a direction, a price, a booking. Off-list questions become a message. A few callers hang up when they hear it is an assistant.

Is Rs 25,000 like a salary?

When should I hire instead?

When unusual calls are the week, when someone must sit at the door, or when you need a person to calm a row. A quiet shop may need neither.
