How can a dental clinic stop missing patient calls?
The week of a South Delhi clinic where the phone rings through a filling, and what actually answers it.
Put a voice agent on the clinic number so the filling is not also the reception. Chat covers the messages that land after the desk has gone.
That is the job for a dental clinic in Delhi NCR that already loses the patient who rang while someone was gloved up. I will not tell you it replaces a nurse. I will tell you what actually answers the phone on a Tuesday in Green Park.
Tuesday in Green Park, mid filling
You are halfway through a molar. The tray is set. Reception is at lunch, or there was never a reception, only you and the assistant who is holding suction. The clinic phone rings.
The person on the line wants to know if you take walk ins, what a cleaning costs, and whether you are open on Saturday. They are not asking for a treatment plan. They are asking for a slot. By the time you can wash, glove off, and find the phone, they have booked the chair two streets down.
That is the week this page is about. Not “patient engagement”. The ring that goes through a filling. The same three questions, again, while your hands are busy. Nobody picks up the phone is the wider version. This is the clinic version, with the glove still on.
Fees and walk ins are the calls that die first. They are short. They are repeated. They do not need you. They need someone who will pick up and write the name down once.
What actually answers it
A voice agent sits on the number printed on the listing and the card. It tells the patient it is an assistant before it books. It answers timings, directions, fees and whether you take walk ins. It books a slot against the diary you already use. It leaves you the transcript.
It does not send anyone to voicemail. Voicemail is how Green Park patients hang up.
The build starts at Rs 25,000 on the pricing page. That is a floor, not a quote. The final number depends on what the phone is asked, which diary you trust, and whether it has to keep running after I hand it over.
If you already have a person at the desk, this is not a firing. Receptionist or an AI voice agent is the hire-or-build page. The person talks to the patients who need a person. The agent takes the ring that used to go through the filling.
Chat is for after 9pm
The phone is the Tuesday problem. WhatsApp is the night problem. Someone messages at 9pm from a mid range Android: do you take walk ins tomorrow, what does a cleaning cost, can I come at 11. That thread sits until morning. Morning is when they have already written to two other clinics.
Chat on the site and on WhatsApp answers those from a list you give me. Fees, hours, walk ins, the next free slot if you have a rule for it. Whether a chatbot can book clinic appointments is the booking page. This page is the missed ring.
Chat, enquiries and the usual inbox work start at Rs 15,000 on the pricing page. Same rule. Floor, not a quote. The ring or the night messages: we start with whichever is louder. I will not sell both so the first meeting looks complete.
If the night messages are the hole and the phone is already covered, start with chat. If the phone rings through every filling and Instagram is quiet, start with voice. I will say which after I have heard the Tuesday, not before.
A robot is not a nurse
A parent calling about a swollen face does not need a slot bot. They need you. It takes a name and a callback, then stops. You still make that call.
A fee that is not on the list, a case you do not treat, a patient who wants to argue with last week’s bill: those come to you. If I let the agent invent an answer, I have built you a liability. I will not.
It will sound like a calm receptionist, and it will say it is an assistant. Some patients will hang up anyway. That is a real downside. A human at the desk would have caught a few of those. A human at the desk is also the person who cannot pick up mid filling.
I cannot give you a miss rate for your clinic. I have not sat your Tuesday. Count the rings that go to voicemail for one week, and the WhatsApp threads that sat overnight. That list is the brief. I will not replace it with a promised lift.
What to do
Write down the three questions the phone actually asks. Write down what a walk in is allowed to do. Write down the fee you already say out loud. If you cannot say those, I cannot ask a machine to say them.
Then get in touch. A short call. What rings, what can wait, what still needs the dentist. If voice is the hole, we start there. If the night messages are the hole, we start there. If the phone you have is already answered, I will say so and stop bothering you.
