How can a coaching centre handle admission enquiries without a full time person?

Admission season on a Rohini or Laxmi Nagar phone, and what a voice agent can take so the batch is not the thing that loses.

A voice agent can take the fee and batch questions while you teach. The counsellor still makes the admission call.

That is how a coaching centre in Delhi NCR handles admission enquiries without hiring a full time person to sit on the phone. I will not tell you this replaces a counsellor. I will tell you what the Rohini phone actually does in April.

You are mid explanation. CUET English, or JEE physics, forty people in the room. The centre phone in Laxmi Nagar rings. A parent wants to know if this batch covers CUET, what the fee is, and when the next one starts. They are not asking for a counselling hour. They are asking for a number and a date.

If nobody picks up, they call the centre down the road. Nobody picks up the phone is the general version. This is admission season, with the board still being written on.

The other failure is quieter. The fee in the spreadsheet is last year’s. WhatsApp got the new one. The register still has the old one. Someone reads the old one out. The parent arrives, argues, and leaves. That is not a missed ring. That is a number you typed twice.

I am one person in New Delhi. I have not sat every centre between Mukherjee Nagar and Laxmi Nagar. I will not invent how many parents you lose. Count the rings that go through class for one week in admission season. That list is the brief.

What the agent can take

A voice agent sits on the number parents already have. It says it is an assistant. It answers from a list you give me: course, fee, batch times, who it is for, whether this is CUET or JEE. It can take a name and a callback if they want a counsellor.

It does not make the admission call. It does not talk a nervous parent into a batch. Receptionist or an AI voice agent is that split. The counsellor talks to the parents who need a counsellor. The agent takes the ring that used to go through class.

Voice starts at Rs 25,000. That is a floor on pricing. What you pay after the floor follows the number of courses on the list, the diary you already use, and whether I keep it after handover.

If a parent asks for a fee that is not on the list, or a batch you have not opened, the agent takes a number and a message. It does not guess. Guessing is how you quote a fee you cannot honour.

Fees typed once

The voice job is the ring. The evening job is the retyping. Automation is the fee, the batch list and the weekly report, typed once. WhatsApp, the register and the sheet then read the same cell.

What office work you can automate is the longer list of evening jobs. Here the office work is the old fee in the spreadsheet. If WhatsApp, the register and the sheet do not read the same cell, someone will send last year’s number. I cannot automate a rule that lives only in the owner’s head. We write the fee down first.

Automation starts at Rs 15,000. Same rule. Floor, not a quote. If the hole is the phone and the sheet is already clean, we start with voice. If the phone is covered and the sheet is the fight, we start with the sheet.

One inbox for the messages

Walk in parents, Instagram ads and the website form all ask which batch, which fee, which teacher. Booking automation puts those in one inbox with an answer the same day. The usual ones get the list. The rest get a chase until they reply, and a slot on the counsellor’s call list if that is the rule.

Enquiries start at Rs 15,000. The phone, the sheet, or the inbox: start with the one that is losing parents. I will not sell voice plus inbox plus automation as a bundle so the meeting looks complete.

A parent who walked in still needs a person at the desk. A teacher who is the brand still needs to take the admission call. This page is not a way to run a centre with nobody in it. It is a way to stop the batch being the thing that loses.

What I will not do

I will not tell you this replaces a counsellor. The admission decision is a conversation. The agent is a list that can speak.

I will not invent how many more admissions you will get. Answering the calls you already miss is the work. Whether those parents then join depends on the batch, the teacher, the fee and the centre down the road.

I will not let the agent invent a CUET batch you have not opened. Off list questions become a message. You still make that call.

Write the list: course, fee, batch times, who it is for. Write what happens when they ask for something else. Then get in touch. A short call. If I can take the phone, I will say so. If you need a full time counsellor and not a list that speaks, I will say that too.

The ones people actually ask.

Does this replace the counsellor?

No. The counsellor still makes the admission call. The agent handles the fee for a course and when the next batch starts. You talk to the parents who need a counsellor.

How do we stop someone quoting last year's fee?

Type the fee once. WhatsApp, the register and the spreadsheet update from that. If the old number still lives in a second file, someone will send it.

What if a parent asks something that is not on the list?

Off list questions become a callback, not an invented answer. The agent takes a name and a number, then stops.
