What actually eats the week in a small desk
The list rebuilt from public tabs. The sequence copied by hand. Replies on mail, WhatsApp and a form, each in a different person’s pocket. The Monday report typed from three sheets.
Automation is one of those jobs, if you can write the rule. Floor Rs 15,000 on pricing. Booking automation is the reply pile in one inbox, usual questions answered, the rest chased. Same floor band on the pricing page. Five jobs is not either floor.
I will not tell you a typical hours save. Time last week. One job. Hours spent. Hours that were typing. Hours that were judgement. Only the typing is a candidate.
If you cannot split those hours, do not buy a stack. Sit with the week until the split is honest.
A two person web shop in Noida is the picture I keep. One person sells. One person ships pages. Both still rebuild the Monday prospect sheet by hand. A fifth retainer will not fit just because the pitch went well. The second person is already in delivery. Typing is the only block of hours you can free without a third chair.
What will not let you take more work
A quiet pipeline. Tooling does not invent inbound. I will not promise a lift from a cleaner sheet.
A founder who still insists on every first call. That is a choice. Software will not attend.
A list you should not have been sending. Gmail’s sender guideline still applies. Passing the checks is not a new retainer.
That Noida shop also cannot take more work if both people already sit in client revisions until 8. Clearing the sheet does not create evenings. Delivery room is a separate count. Write that count before you price the next retainer.
How to work “how many more” from your own desk
Pick the job you would hand to a junior if you had one.
- Hours that job took last week. Your clock.
- How many hours a week you actually have left after delivery. Your calendar.
- Whether a new client needs that job every week, or once.
If the job is four hours and you have four hours, one more client is a ceiling, not a forecast, and only if delivery has room. I will not turn that into a city model. If you do not keep hours, start a week of marks before you buy anything.
For the Noida pair, the honest ceiling was one extra maintenance client, not three new retainers. The sheet ate four hours. Delivery had four hours left, some weeks. I will not copy that arithmetic onto your desk. Run yours.
After the sheet leaves the Noida room
Once that two person shop stopped rebuilding the Monday list by hand, the temptation was to take three new retainers in the same month. Delivery still had revisions. The founder still took every first call. The sheet was gone. The week was not empty. They hired a third person for the calls they could no longer take, and kept the one-job build for the list. That mix is allowed. A build is not a vow to stay two people forever.
I will not tell you your mix. Time the typing. Time the judgement. Time the delivery leftover. If judgement is the pile, hire. If typing is the pile and delivery has room, build the one job.
Honest downsides
You can clear the typing and then sell more than delivery can hold. Missed work is how retainers die. Capacity on the outbound side is not capacity on the build side.
You can also skip the hire you needed. A person who can calm a row is not a sequence.
When I will tell you to hire anyway
Unusual replies are the week. The fit judgement is the product. Someone must sit on a call the founder can no longer take. Then a person is the spend, and a build is decoration.
When I will not: the Monday sheet is the week, the rule fits on a card, and delivery still has room. Then one job is the next sentence.
